FAST DISPATCH is a new service for landlords that need a support system that will keep relations between themselves, the tenants and the contractors running smoothly.
Typically a tenant calls in with a problem. The owner of the property may not be at a desk where proper notes can be taken. The contractor he calls may take instructions verbally and then not follow up. Before long the lines of communication break down and no one can remember what was promised to whom.
We have a system developed by Don Eaton to track work done on his own investment properties. This DIPATCHING PROGRAM was put in place shortly after he was involved in a bogus law suit by a tenant that claimed injury. There is a 5 step process that is followed:
1 . The tenant calls our 24 hour call line and reports a problem. ( No repairs are assigned without a formal request by the tenant through this call line ).
2. We call the tenant for clarification ( sometimes we can avoid a service call by asking a few simple questions )
3. We call the owner if we determine a repair is warranted.
4. We assign the contractor of the owners choice to make the repair.
5. We follow up and archive the resolution so 5 years later the owner can look back and see who lived there, what the complaint was, who the contractor assigned the repair was, and how it was resolved.
